Instantly vs Smartlead vs Findymail: credits, limits and the real cost of email outreach

Choosing an email tool gets harder when the headline price is only one part of the bill. A sending subscription, a contact allowance, finding credits and mailbox fees can all measure different things. The practical question is simple: what will your team pay to run the workflow it actually needs?

Instantly and Smartlead offer hosted campaign tools. Findymail focuses on finding and verifying contact data, with integrations into sending tools. Outbound OS takes a different approach: a one-time software license for your own installation, with separate packages for finding, sending or both. Outbound OS limits: your license sets the features and number of users. Hosting, mailboxes, domains and external AI/data services cost extra and have their own limits. Daily sending limits still apply.

Examples compare billing models, not identical feature bundles. Higher competitor plans have different allowances; Smartlead includes verified prospects on its Unlimited tiers. Findymail finds and verifies together, charges only for successful results and includes separate verification credits.

What does an email credit actually buy?

The word “credit” does not tell you much by itself. A credit might pay for finding a new address, verifying an address you already have, adding company information or using an AI feature. A sending allowance is another counter entirely: the first message and each follow-up can use separate sends.

Before comparing prices, write down three numbers: how many new contacts you need, how many existing addresses need checking and how many messages you expect to send. For example, 2,000 people receiving one first email and two follow-ups could require up to 6,000 sends, before accounting for replies, opt-outs or messages you choose not to send. That is an illustrative calculation, not a recommendation to contact everyone three times.

Also ask what happens to unused credits, failed searches and the contacts already stored in the platform. Those rules can matter more than a small difference in subscription price.

Instantly: hosted sending with a separate credit system

The Instantly pricing page lists Growth outreach at $47 per month with 5,000 monthly sends and 1,000 uploaded contacts. Email accounts and warmup are listed as unlimited on that plan; unlimited accounts do not mean unlimited monthly messages. Its credit products are presented separately, although bundles are also available.

Instantly is worth considering if you want a hosted workflow and prefer the vendor to run the software. Look at the exact outreach and credit combination you would buy, rather than assuming that contact discovery comes with every sending plan. Larger plans increase the allowances, so Growth is a starting example, not a description of the whole product.

Smartlead: sending capacity with plan-specific prospecting

Smartlead’s published plan guide describes Base from $39 per month, with 6,000 sends and storage for 2,000 contacts. Prospecting is an add-on on Base. Higher Unlimited tiers include verified prospect allowances, and the vendor also offers separate verification credits.

That distinction matters: it would be inaccurate to say every Smartlead customer must buy the same add-ons. If you already use Smartlead, compare the next tier against your current plan plus extras. Its pricing page lets you see how sending capacity, prospecting and other services change together.

Findymail: finding and verification, priced by credits

The Findymail Starter plan is shown at $99 per month on monthly billing, with 5,000 Finder credits and 5,000 bonus Verifier credits. Finding includes verification, and the vendor charges for successful results. The separate Verifier allowance is for addresses from other sources; it is not a second charge for checking every email Findymail has just found.

Findymail can make sense when better contact data is the part of your workflow you need to solve. Its sequencer integrations connect to tools such as Instantly and Smartlead. Include the cost of your chosen sending tool when you budget for the complete workflow.

Outbound OS: license the software, choose how it runs

Outbound OS does not sell software credit packs for finding or checking emails, and it does not impose a monthly software sending allowance. You choose a Find & Verify, Sending or Full Access package, then run it on your own server or use our managed hosting option.

This separates the software purchase from the resources you use. Hosting, mailboxes, domains and external AI or data services still cost money and may have their own usage limits. Your license also defines feature access and seats. A one-time license is a right to use the licensed software under your order terms, not a promise of free servers or every future service.

You remain responsible for sensible daily sending limits, list quality and the health of your mailboxes. No software model makes unlimited sending safe or guarantees inbox placement. The benefit is control over the workflow and its software billing model.

Compare the whole cost, not just the first price

Use this checklist when you request a quote or evaluate a subscription:

  • Software: one-time fee, monthly fee, package features and seat allowance.
  • Data: finding, verification, enrichment and the rules for failed results.
  • Sending: expected messages including follow-ups, stored contacts and connected mailboxes.
  • Infrastructure: domains, mailbox subscriptions, servers and backups.
  • AI: included tools, provider charges and the limits you can set.
  • Operations: setup, support, updates and who handles maintenance.

For a one-time installation, compare the license fee plus a year of operating costs with a year of the subscriptions and extras you would otherwise buy. We publish quote-based pricing because package, seats, support and hosting are agreed for the installation. We cannot honestly claim a fixed saving without those inputs.

Which approach fits your team?

A hosted subscription can be convenient when you want a vendor to run the platform and your volume fits its plan. A contact-data tool can fit when you already have a sending system you like. A dedicated licensed installation fits teams that want to control where the software runs and avoid software credit counters or monthly sending caps.
